When should the file be frozen if the lease commencement date is fixed?

Work backwards from the commencement date and set the freeze early enough to correct what the reconciliation finds. Preparation, any consular step, government review and admission are separate stages with their own durations, and none of them can be promised for a particular date. A fixed rent obligation is a reason for margin, not for rushing the review.

Decide what happens if a contract changes mid-case

Name the person who watches for changes after submission and agree in advance how a new supplier agreement, a renegotiated rent or a shift in ownership will be handled. Some changes are material enough to need advice about informing the authorities. Others simply belong in the file.

Settling this early avoids a scramble at the worst moment and keeps the opening plan, the staffing commitments and the immigration steps on one visible schedule. Work backwards from the lease commencement and mark the last point at which each obligation could still be deferred or renegotiated, since a fixed rent liability running against an enterprise that cannot yet lawfully be operated is the specific risk this sequence exists to avoid.
